Keep selling when the network goes off: how an offline POS works

Light off, data finished, network down. What an offline-first till does differently, and what to check before you trust one.

The ManuelPOS till, which keeps selling without internet

The short answer

An offline-first POS saves every sale on the device first and uploads it automatically when the connection returns, so customers never wait for the network. Stock is recorded as changes, so several tills can sell at once without overwriting each other.

Key takeaways

  • An offline-first till saves every sale on the device first, then uploads it later.
  • Customers should never wait because the network is down.
  • Two tills selling the same item offline must not overwrite each other's stock.
  • Test it yourself: switch off the Wi-Fi and ring up a sale.

Every business in Ghana knows the moment: the network drops in the middle of a sale, or the light goes off and takes the router with it. With a cloud-only system, the queue stops while everyone waits for the signal to come back. Some customers wait. Some leave.

An offline-first till is built so that this moment barely matters.

What is the difference between online-only and offline-first?

An online-only system needs the internet for every action. Without a connection it cannot ring up a sale.

An offline-first system keeps everything it needs on the device itself: your items, prices, customers and the day's sales. Every sale is saved on the device first. When the connection returns, it uploads everything it saved, in order, by itself.

What should keep working offline?

With the network down, a good offline-first till should still let you:

  • ring up sales and take cash or MoMo payments
  • print or share receipts
  • look up customers and their credit balance
  • keep the kitchen screen or appointment list on that device up to date
  • close the till at the end of the shift

What naturally waits for the connection: seeing the sales from your other devices or branches, and anything that has to reach someone outside, such as an online booking.

What happens when two tills sell offline at once?

If two tills sell the last carton of milk while both are offline, a badly built system can end up with the wrong stock, or worse, one till overwriting the other's sales when they reconnect.

A well-built system records each sale as a change, "minus one carton", rather than a new total. When both tills reconnect, both changes are applied, and the stock is right.

How do you test an offline POS before you buy?

  1. Switch off the Wi-Fi on the device and ring up three sales.
  2. Close the app and open it again, still offline. The sales should still be there.
  3. Switch the Wi-Fi back on. Within a minute, the sales should appear on another device or in the online reports.
  4. Try it with two devices, both offline, selling the same item. When they reconnect, check the stock.

How does ManuelPOS work offline?

ManuelPOS saves every sale, payment and change on the device first, and uploads them automatically when the connection returns. Stock changes are recorded as changes, so several tills can sell at once without overwriting each other. The app is stored on the phone or tablet, so it opens fast and uses very little data.

FAQ

Frequently asked questions

Quick answers to what business owners ask us about this.

How long can ManuelPOS work without internet?

There is no fixed limit. The device keeps every sale until the connection returns, then uploads them all. For your reports and other devices to stay current, connect at least once a day.

Will I lose sales if the phone dies before it syncs?

Sales are saved on the device as they happen, so they survive the app or phone restarting. They upload the next time the device is online.

Does it use a lot of data?

No. The app is stored on the device, so only your sales and changes are sent, which is very little data.
